Director of Finance and Operations The Alaska Conservation Foundation is seeking a Director of Finance and Operations. We seek an accounting professional with affinity for our mission, and experience with nonprofit management issues. We are an energetic and family-friendly organization that recognizes the importance of work-life balance. The Alaska Conservation Foundation is committed to serving as a model for nonprofit effectiveness and organizational sustainability. The Director of Finance and Operations will help ACF to carry out and improve its own best practices in finance, operations, and organizational sustainability, and then help to instill those efforts with our grantee community. We have a staff of 12 and an annual budget of $5 million, which is tracked using over 40 restricted-use funds. Our endowment is valued at $5 million, with assets tracked through 19 separate funds. We possess several charitable gift annuities. ACF supports three collaborative campaigns by providing a combination of fiscal sponsorship services and direct employment of a campaign coordinator. Position Summary The Director of Finance and Operations (DFO) is a member of ACF’s management team, and reports directly to the executive director. The Director is responsible for all aspects of financial and office operations. ACF functions as a community foundation for conservation. Our foundation role increases the complexity of our financial operations as well as our requirements for accuracy and accountability. The position involves hands-on tasks such as issuing checks, reconciling accounts, performing payroll duties, and overseeing human resources. The DFO supervises one employee who provides administrative and office support. When necessary, bookkeeping assistance is also available through a subcontractor on retainer. Complete IT oversight is accomplished through a subcontractor. Requirements below are the baseline; the Director of Finance and Operations is expected to tackle other projects as necessary and assigned. Accounting a. Ensure organizational compliance with IRS, other federal, and state laws. b. In coordination with executive director and management team, prepare annual budget and mid-year revisions. Monitor variances and create year-end projections. c. Prepare monthly and annual financial reports for staff and trustees. d. Working with staff, prepare budgets and reports for grant proposals and reports. e. Reconcile bank accounts including checking, credit cards (outgoing & revenue), money market funds, short-term investments, and endowment funds. f. Revenue: Record summary information on donations, grant revenue, reimbursements, etc. (Donations are recorded and processed by Data Information Specialist.) g. Expenditures: Record expenses, process payments. h. Payroll: Process semi-monthly payroll and associated taxes; file quarterly and annual federal and payroll reports; issue W-2 forms. Issue year-end 1099s. i. Prepare and file charitable gift annuity reports. j. Assist audit firm in compiling financial statements. k. Prepare supporting documentation for Form 990 and other federal and state tax reports. l. Track direct and grassroots lobbying expenses. File federal lobbying reports. m. Oversee preparation and filing of state charitable registrations (performed by support staff). n. Maintain files for leases, contracts, and consultants. o. Liaise with the Board of Trustees Finance and Investment Committee to review, prepare, and present investment performance reports. Human Resources a. Ensure compliance with ACF personnel policies and state/federal labor laws. b. Administer benefit plans including medical, dental, SEP IRA and 403(b) retirement. c. Oversee hiring process for all positions. d. Maintain personnel files. e. Liaise with the Board of Trustees Personnel Committee to recommend personnel policy updates and conduct salary and benefit surveys. Office Management a. With assistance of support staff, ensure adequate procurement of office supplies. b. With assistance of support staff, maintain office filing systems. c. Oversee lease of office space. d. Oversee IT support contract. e. Assess computer, software, and equipment (furniture, copiers, printers, fax machines, phones, voice mail, and postage meter) needs as part of budget planning, and procure needed items. f. Maintain insurance policies (worker’s compensation, Directors and Officers, property, liability). Conservation Programs Advise our program officers on organizational effectiveness topics (accounting, human resources, office management) for our grantee organizations. As workload allows, direct involvement is encouraged. Job Skills & Related Experience a. Nonprofit awareness and experience highly desirable. b. Strong management and accounting skills. Prior experience with fund accounting and related software preferred. MBA-related training preferred. c. Thorough knowledge of Microsoft Word, Outlook, and Excel. Proven track record designing and implementing spreadsheets to track and analyze data. Experience with QuickBooks desired. d. Awareness of financial controls issues, including auditing and implementing best practices. e. Strong organizational and time management skills. Ability to meet deadlines, prioritize tasks, manage multiple projects, and work without close supervision. f. Common sense, flexibility, and teamwork capabilities with the ability to exercise independent judgment. g. Ability to exercise discretion and sensitivity in handling confidential information. h. Three or more years of related work experience. i. Enthusiasm for our mission. j. Actual and feigned receptivity to a broad range of attempted humor (preferred, not required).
